Privacy Policy

This policy explains what personal data the internal software operated by Absolute Ventures collects, why it collects it, where that data is stored, and who it is shared with.

It applies to Clawdbot, the group's internal operations assistant, and to any other internal tool the group runs that connects to a user's accounts. These tools are used only by authorised people within the group. They are not distributed to the public, and there is no sign-up.

Who is responsible

What data is accessed

When an authorised user connects their Google account, the software may access:

• Google Calendar — events, their times, titles, locations, descriptions and attendees. Used to answer questions about the user's schedule, to add and amend the user's own events at their request, and to give reminders.
• Gmail — the content, headers and labels of messages in the user's mailbox. Used to summarise and search correspondence at the user's request, to draft replies for the user to review, and to apply or remove labels the user asks for.

The software also processes whatever the user types into it, and technical records of its own operation, such as timestamps, error messages and the status of the systems it monitors.

Why it is accessed

Solely to provide the assistant features the user has asked for. The software acts on the user's instruction, on the user's own account, as that user. It is not used to build profiles, to score or rank people, to train models, or to derive anything beyond the task in front of it.

Where the data is kept

The software runs on servers rented by Absolute Ventures from Google Cloud Platform and administered by the group. Access credentials, conversation records and working files are stored on those servers with file permissions restricting them to the operating account. Nothing is stored on any third-party application platform.

How long it is kept

• Access tokens are held for as long as the connection is in use and are destroyed when the user disconnects the account or the token is revoked.
• Conversation and working records are retained while they remain operationally useful and are removed on request.
• Calendar and mail content is read when needed to answer a request. It is not copied into a permanent separate archive.

Who it is shared with

Personal data is not sold, rented, traded, or shared for advertising. It is not shared with any third party except:

• the infrastructure and model providers strictly required to run the software — presently Google Cloud Platform for hosting and Anthropic for language model processing — each acting on the group's instructions and bound by their own terms;
• where disclosure is required by law.

Google user data — limited use

Absolute Ventures' use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.

Specifically, data obtained through Google APIs is:

• used only to provide or improve the user-facing features the user has explicitly consented to;
• never transferred to others except as necessary to provide those features, to comply with applicable law, or as part of a merger or acquisition;
• never used for advertising of any kind;
• never sold;
• never used to develop, improve or train generalised artificial intelligence or machine learning models. Where a language model is used to carry out a request, it is used under terms that prohibit training on the content submitted to it.

No human reads a user's Google data except the user themselves, save where the user has asked for help with a specific problem, where it is necessary for security purposes, or where the law requires it.

Security

Access to the servers is restricted to named administrator accounts and a private network; credentials are stored in permission-restricted files outside any code repository; and the systems are monitored so that faults are noticed rather than discovered later.

Your choices

A user may withdraw access at any time from Google Account → Third-party apps & services. Revoking it stops all further access immediately. A user may also ask, at the address above, for a copy of what is held about them or for it to be deleted.

Children

The software is for authorised adult users within the group. It is not directed at children and is not made available to them.

Changes to this policy

If this policy changes materially, the revision date at the top will be updated and affected users will be told directly.
